Real Estate Lead Management: How to Follow Up Plot Leads and Close More Bookings

Most plotted projects do not have a lead problem. They have a follow-up problem. Enquiries come in from ads, brokers, hoardings and WhatsApp forwards, a few get a call the same day, and the rest slowly go cold in a notebook, an Excel sheet or someone's phone. This guide sets out a simple real estate lead management system for plot developers: how to capture every lead, how fast to respond, a follow-up schedule, and ready messages your team can send on WhatsApp.
Why plot leads go cold
- Slow first response. A buyer who enquires on Saturday evening and hears back on Monday has usually called two other projects by then.
- Leads in too many places. Some in the CRM, some in WhatsApp chats, some with brokers, some on paper. Nobody sees the full list.
- No next step. A call ends with "I'll think about it", and nobody writes down when to call again.
- Giving up too early. Land is a big, slow decision, often made with the whole family. One or two calls are rarely enough.
Step 1: Capture every lead in one list
Every enquiry, from every source, should land in one list with the same basic details: name, phone, source, the plot or budget they asked about, and the date. This includes:
- Enquiries from your plot map and website, automatically.
- New WhatsApp numbers that message your business number.
- Broker leads, credited to the broker who brought them.
- Walk-ins and hoarding QR scans at the site office.
- Ad leads from Facebook, Instagram and Google.
A lead management system for real estate does this for you; the alternative is one shared sheet that everyone actually uses. Either way, a lead that is not in the list does not exist. Recording the source also tells you which ad actually sold the plot.
Step 2: Respond within minutes, not days
The first response matters more than any later one. Aim to reply to every new enquiry within minutes during working hours, and with an automatic message outside them. The reply does not need to be a sales pitch. It needs to be fast, polite and useful: thank the buyer, send the layout link with their plot highlighted, and ask one simple question.
Step 3: Qualify with a few simple questions
You do not need a long form. Three answers tell you most of what you need:
- Budget: roughly how much are they planning to spend?
- Purpose: to build a home, or as an investment?
- Timing: are they buying now or in a few months?
Record the answers in the lead. They decide which plots you suggest, how often you follow up and who in the team handles it.
Step 4: Follow a schedule, not your memory
A simple real estate lead follow up schedule for a new plot enquiry:
- Day 0: reply within minutes with the layout link, then a call the same day.
- Day 1: share two or three plots that fit their budget, with sizes and prices.
- Day 3: invite them for a site visit and offer a time slot.
- Day 7: send something useful: a site video, approval details, or a nearby landmark.
- Day 14: update them on what has changed: plots booked, work done at site.
- Every month after that: a short, relevant update until they buy or say no.
After every call, set the next follow-up date before you hang up. A CRM that shows "today's follow-ups" each morning is the single biggest improvement most sales teams can make.
Ready WhatsApp follow-up messages
Copy these real estate follow up messages and adjust them to your project. Short messages that end with a question get more replies.
First reply
"Namaste Rahul ji, thank you for your enquiry about [Project]. Here is the live layout with plot 42 highlighted: [link]. Are you looking to build a home or invest?"
Plot suggestions
"Based on your budget, these three plots are a good fit: 18 (1,200 sq ft, east facing), 42 (1,500 sq ft, corner) and 57 (1,350 sq ft, park facing). Would you like to see them this weekend?"
Site visit invitation
"We have site visits this Sunday between 10 AM and 1 PM. Shall I book 11 AM for you and your family? We will keep plot 42 ready to show you."
After the site visit
"It was good to meet you and your family today. Here are the price and payment plan for plot 42: [details]. Do you have any questions I can answer?"
Gentle re-engagement
"Hi Rahul ji, a quick update: road work at [Project] is complete, and plots 41 and 43 next to the one you liked are now booked. Plot 42 is still available. Shall I send the latest layout?"
Always be truthful in updates. If plots near theirs are booked, say so; if not, talk about progress at site instead. Respect anyone who asks you to stop.
Step 5: Use WhatsApp, but keep the record in the CRM
For plot buyers in India, WhatsApp is where the conversation happens. The risk is that the conversation then lives only on one salesperson's phone. A WhatsApp CRM for real estate links your business number to the CRM, so new numbers become leads, messages and reminders are sent from the system, and the history stays with the project when a salesperson leaves. If you send messages in bulk, send them slowly, to people who expect them, and always honour a "STOP".
Step 6: Measure your pipeline every week
Once a week, look at a few simple numbers:
- New leads by source.
- Leads not contacted within a day.
- Follow-ups overdue.
- Site visits booked and done.
- Bookings, and the source each booking came from.
These five lines tell you whether the problem is too few leads, slow follow-up or weak site visits, and each problem has a different fix. Our site-visit checklist helps with the last one.
How an AI CRM makes this easier
Everything above can be done with discipline and a sheet. A CRM built for plot sales simply makes it hard to forget. In zeplot, enquiries from the 3D plot map arrive as leads with the plot the buyer chose, every lead has its source and follow-up date, and the AI CRM scores leads with a reason, writes the next message in the buyer's language and sends payment and site-visit reminders on WhatsApp. Read more about what AI actually does in a real estate CRM.
Frequently asked questions
What is real estate lead management?
It is the process of capturing every enquiry in one place, responding quickly, qualifying the buyer, following up on a schedule and tracking each lead until it becomes a booking or is closed.
How many times should I follow up with a real estate lead?
Many more than most teams do. Land is a slow, family decision, so plan for several follow-ups over the first two weeks and a useful update every month after that, until the buyer books or asks you to stop.
How fast should I respond to a property enquiry?
Within minutes during working hours if you can, and with an automatic reply outside them. The first project to respond helpfully often gets the site visit.
Can I manage real estate leads on WhatsApp alone?
You can talk to buyers on WhatsApp, but keep the record in a CRM. Otherwise leads are lost when phones change or staff leave, and you cannot see which source or salesperson brings bookings.
