Stop double-booking plots with one live inventory

It usually happens on a busy weekend. One salesperson takes a token for plot 27 at the site office while another promises the same plot to a caller. By Monday, somebody has to phone a buyer and apologise.

Why it happens

Inventory lives in too many places: an Excel sheet on one laptop, a printed layout with pen marks at the site, and the memory of whoever was in the office. Each copy is correct for a while, then quietly goes out of date.

One status per plot, for everyone

The fix is simple to describe: every plot has exactly one status, stored in one place, and everybody reads it from there. In the admin, a plot is available, booked, on hold, reserved or sold, and the change is logged with who made it and when.

• Hold a plot while a buyer decides, so nobody else sells it that afternoon.
• Book it when the token is received; the booking and its payment plan are recorded together.
• Release it automatically if a booking is cancelled, so it goes straight back on sale.

The map is the proof

Because the buyer-facing map reads the same status, a plot marked booked in the office turns booked on every buyer's screen within seconds. Your team, your brokers and your buyers are all looking at the same truth, and the Monday apology call disappears.
